Our Basic Stance on Treatment of Personal Information

Our company adheres to laws and regulations regarding the protection of personal information. Our treatment, protection, etc. of personal information are explained below, based on the provisions of the Private Information Protection Law,.


1) Purposes of using personal information from customers

  1. We use property information to search for interested parties for transactions.
  2. We use property information to advertise online, in flyers, etc.
  3. In some cases, we use property information to register the property on a property search system (REINS) that is a designated distribution system, in order to search for interested parties for transactions. After concluding a contract, we provide information on the signing of the contract (including an overview of the property, date of the contract, price of the contract, etc. for the property covered by the contract, but not including the customer name) to a designated distribution system (an organization that has been designated by the Minister of Land, Infrastructure, and Transportation, under the Building Lots and Buildings Transaction Business Act). The designated distribution system uses property information and/or contract signing information for the duties of the designated distribution system stipulated in the Building Lots and Buildings Transaction Business Act, such as providing the information as electronic data or in paper form to real estate transaction specialists as well as official organizations that are affiliates of the designated distribution system.
  4. We use the information to seek interested parties for sales contracts and rental contracts for real estate, and to provide services outlined in the contract after concluding contracts for sale, rental, intermediary services, maintenance, etc.
  5. If maintenance is included, we use such property information to perform the management commission contract duties established in the contract with the management association of the condominiums, etc.
  6. We use such property information to provide guidance and send products from our company and our business partners that would be considered helpful to clients, provide relevant after-sales service, and provide notification regarding maintenance duties etc. in management services, as it pertains to the duties listed in 1. through 5. above.
  7. We store such property information as an account record or account record material, based on Article 49 of the Building Lots and Buildings Transaction Business Act.
  8. We use such property information for appraisal related to sale, rental, etc. of real estate. The contract signing information used for appraisal may be provided to an intermediary as the "basis of opinion" stipulated in the second clause of Article 34-2 of the Building Lots and Buildings Transaction Business Act.
  9. It may be offered to the third parties listed in 3) below.

2) Personal information retained by this company and purposes of use

  1. This company retains personal information recorded on applications, contracts, etc. received from tenant applicants and tenants of rental property, applicants and buyers of property for sale, owners of real estate by whom we have been commissioned for management or intermediary services, as well as any other right holders, as well as personal information obtained through other proper means, in connection with real estate business with this company.
  2. We use personal information to fulfill contracts, maintain contracts in rental transactions, and implement management and after-sales services after concluding contracts in purchasing transactions.
  3. This company uses customer personal information (address, name, telephone number, and e-mail address) in order to introduce our other real-estate property services and to send direct mail to introduce products and services offered by our business partners that are considered helpful to clients. We will cancel usage for this purpose upon request from the customer.

3) Providing personal information to third parties

The personal information retained by this company may be provided to the third parties listed in 1.-11. below, in order to fulfill contracts with the customer, maintain contracts in rental transactions, and implement management and after-sales services after concluding contracts in purchasing transactions, in accordance with the content of our services, including name, address, telephone number, date of birth, real estate property information, and contract signing information, through writing, mail, telephone, internet, e-mail, advertising media, etc. However, we will stop providing this information upon request from the customer.

  1. Persons who will be or are expected to become the other party in a contract related to a matter for which we have been commissioned by the customer.
  2. Other real estate transaction specialists.
  3. Businesses or groups that place internet advertising and/or other advertising.
  4. Designated distribution systems (real-estate transaction specialists are obligated to register with and provide signing information to the designated distribution system after concluding a privileged and exclusive brokerage service agreement or exclusive brokerage service agreement, based on the Building Lots and Buildings Transaction Business Act.)
  5. Judicial clerks and real-estate surveyors, in relation to registration.
  6. Financial institutions in relation to financing.
  7. Management contractors for the relevant real estate if management is needed.
  8. If management by this company occurs, the outsourcing company determined in the disclosure statement of the management contract and/or the financial institution for transfer of the management fees withdrawn, and management association officials.
  9. Credit history organization for credit reference for prospective tenants (if needed).
  10. Rent collector if a tenant fails to pay rent.
  11. Our affiliates who are considered to be helpful to the customer.

4) Personal information protection measures

  1. This company regularly conducts training for its employees regarding the protection of personal information, and securely manages the personal information of its customers.
  2. We implement necessary safety control measures in our databases, etc.

5) Outsourcing of personal information processing

If this company outsources in part or in full the handling of personal data that we retain, we will conclude the necessary contracts, and conduct appropriate control and supervision.


6) Shared use of personal information

If we engage in shared use of personal information from the customers, we will take the required special measures determined in the Private Information Protection Law.


7) Requests to disclose or correct personal information, requests to cease usage of personal information, etc., and complaints regarding handling of personal information
